BILL AP Automation Helps Clif Family Focus on Efficiency and Sustainability

Napa is a beautiful place to live. The mountains and the valleys and the vineyards and everything that we have here.

Our roots are from Cliff Bar. Gary Erickson and Kit Crawford, who are the co owners of Cliff Bar, also founded and co owned Cliff Family Winery and Farm. All of our vineyards and our farm are CCOF certified organic.

Cliff family started with two varietals. We had the Gary's Improv Zinfandel and the Kit's Killer Cab. And when I came on board, we were just making a small amount of both of those. And Gary and Kit were kind of like, we've got, we're starting this wine project and we don't know where it's going go and we're really excited about it and we want to bring the food and all these different aspects together.

And now we have over twelve varietals. We make white wines, we make red wines, we have a very popular rose.

One of the things that's really unique about Cliff Family is the real connection we have to our local community. Our tasting room is right in downtown St. Helena. It's casual.

You have the food truck that's right next door. Half of our visitors on a weekday are going to be our local customers. That's something that's somewhat unique for a winery in the valley. And even when we've gone through some challenges as a business, you know, maybe there's fires that are driving away tourists, we still find our local community comes out and supports us.

And we have really been able to connect.

It's kind of where we bring together everything that we do at Cliff Family in one area.

To set yourself apart in the Napa Valley takes creativity and passion and purpose. And for Cliff Family Winery, that passion and purpose is sustainability.

Organic farming is a huge part of what we do, but we really take it to the next level where we talk about sustaining our people, our community, our brand, our business, our planet, I mean, you name it. So when we make decisions with sustainability in mind, it gives us all a very authentic sense of purpose, and we really care about what we're doing, and who we work for and the product that we're creating.

We're a small business, but we're a growing business. And with any growing business, you start to have to come up with systems that help make everybody's lives more efficient. And so, you know, we always talk about the pre Bill dot com days when we put all of our invoices in blue folders. We're using so much less paper.

We used to print them, and then the papers would file through the office, and they would have to get signed by various people before returning to accounting's desk.

The ease of use with Bill dot com is amazing. With all approvals and processing an entire AP check run, all from remote locations. Normally I would have to drive to the office, turn on a computer, do all that kind of stuff. Now I literally can get on my iPhone, bring up the app, and press pay this invoice and now. That's it.

I don't spend a lot of time in the office.

I'm typically in the vineyard and in the winery. So I could literally be in the cellar and approve a bill. I could be in the winery and approve a bill.

When she's on the bottle line, you know, I can't say, Hey, here's your blue folder.

You know, you need to approve this.

It hits all of those pieces of sustainability.

It sustains the business.

It sustains our people because it's more efficient and we're not tearing our hair out over approving invoices.

We were talking the other day and saying, wow, we have all this more, you know, we have extra time as we're more efficient to put more time into our community.

Or so yes, of course, the business improves, but I think it also allows us more time to focus on some of the other things that we want to do too.

When people enjoy my wine, it makes me feel very proud. I can remember a day when I had first bottled one of our rose wines, and it was the middle of February. It was a freezing cold, rainy day. And rose is usually consumed in the summer.

You think of it as a summer wine, by the pool, outdoor barbecues. But this was a cold, rainy day, and the tasting room was jam packed with people drinking rose. And I walked through there and felt so proud and so happy that they were enjoying my product. It was really a very memorable experience and feeling.

So the products that we make creating happy memories and happy experiences, it's bringing people together.

Bear Robotics Embraces AP Automation With BILL

Bear Robotics is a company that's bringing robotics and automation into the restaurant industry. A typical day of a server requires that they literally have to run back and forth constantly, sometimes miles a day. Carrying heavy dishes, you know, wages are very low, and you're relying on tips, and it's a very, very difficult thing. That's why there's such tremendous turnover in this industry. So we wanted to really think about some tool that would help automate particular tasks. Enjoy. This is indoor self driving technology.

Three d cameras, one that's upward facing, one that's downward facing. There's a lidar on the very bottom that helps with detecting obstacles. There's a weight sensor on each tray. Basically, once the food is taken off, the robot will automatically return to its home station. There are some that will be doing just food running, some that will be doing just your bussing, and then the dishwasher will take tubs off, put new ones on, and send it right back out. It really helps the staff not have to tackle these backbreaking tasks.

Our very first prototypes were primarily here in the Bay Area. We eventually partnered with one of our lead investors in Japan. The adoption in Japan and in Korea is actually very, very fast. Believe it or not, in Japan, these run sometimes up to three hundred times a day, just constantly.

We probably have hundreds of parts that are purchased for this particular robot months ahead of time. And so managing all that, it can become a little bit crazy.

What's so important, especially, as you're kinda growing, is to get spend under control and to be able to have that audit trail of understanding where spend is going, who's spending what. In the past, we'd have to dig through emails and trying to get through, oh, was this even open? Was this even clarified or or figured out? We found build dot com to be the best solution for that.

Being able to see the detail behind each invoice, who actually requested something, the reasons for it, proper approvals in place, been a savior for us for sure. As a small company, you know, you will always start with the bare bones of a QuickBooks, for example, which is what we did. Now we're actually migrating into NetSuite. Regardless, we're still gonna continue with bill dot com because it's such a great tool for our organization.

Bear Robotics is looking to shift how the daily work of a restaurant staff will be. And we really hope that this will help folks that are out there working day to day and grinding and really hope to create a better future of work. Please take your food. So that's really our mission.

BILL Financial Automation Helps Generation Teach Save Time

Teachers are motivators.

Teachers provide that loving and supporting and nurturing that our kids so desperately need.

GenerationTeach is an opportunity for everyone to experience school how we feel that schools should be, where you have people of color in all kinds of positions, positions of power, they're leading the schools, and so the students who attend these schools get to see people who look like them in not only administration, but also in front of them in the classroom. And there's like that relatability.

Our mission is to end inequity in education and racial injustice.

Most of the curriculum that we use is written by people of color, and so our students are getting to interact with materials that have been developed with them in mind and allowing the teachers to really read their classroom and teach in a way where their students are able to learn and absorb as opposed to teaching towards a test.

GenerationTeach is a nonprofit organization.

We do the summer teaching fellowships where we have high school and college kids come in, just try teaching out middle school students who get to attend the program for free, and we have professional teachers who get to come in and try their hand at administration.

We're shooting for three hundred teaching fellows this year, fifteen hundred students, and we have about fifty, professional teachers who are helping us do it. When I first got to Generation Teach, we were paying everybody with checks. When people send me checks, I deposit them pretty quickly. But when we have college students whose checks were going to their parents' house in a different state or they lost the checks, they didn't know where they were, and so I was literally having to track down each of these individuals who had not cashed their check to beg them to cash their check. So now we use bill dot com to pay everyone electronically, which has been a huge game changer.

Bill dot com has really helped me focus on my passions within GenerationTeach because I don't have to spend so much time in the nitty gritty of the accounting and finance work. You know, I can do my once a month reporting, and then that extra time I can use to do some of the talent and outreach that I love to do. It has allowed me to pretty much take my entire workstation with me. When we were doing checks in the past, I'd have to be home because they were the checks were coming to my home. Now, everything is in my laptop, so my laptop is my office. And the app is great too. I always have my phone with me, so I can be anywhere in the world.

I didn't start off as passionate about teaching. I am originally from Statesville, North Carolina, which is a really small town, and we were all just raised together on a farm. My dad was a fireman, my mom is a teacher, and I have two brothers and a sister. I remember my mom studying and going to night school while she was working a job during the day. She actually ended up graduating from college the same year I graduated from high school. And then I went to college in Greensboro.

I got an opportunity to teach college, and that's when it was like it was like almost like a fire, just just like and things just open up. It was like, this is it. Like, something that you did mattered. It mattered in that moment, of course, because they got what you were teaching, but it matters so many years down the line. When I'm doing some complicated accounting, I'm I'm like, oh, doctor HQ taught me this or, you know, like and I remember those little things and I remember her. And so I think that's the thing about teaching is it's like it's not just that moment in time, it's it snowballs. It becomes like this this thing year for years and years to come.

One day, I hope that with GenerationTeach, we will work ourselves out of a job and that schools are just a loving environment where everyone feels like they belong, everyone feels like they're supported, and everyone gets the education that they deserve.

Bare Bones Broth Relies on BILL Power Tool to Digitize Their AP Process

When I was eighteen, I just graduated high school, and my dad, passed away. So he was thirty nine, had a heart attack. It was scary. And and my dad didn't eat very well, didn't really take care of himself. So I just got really into food and fitness and nutrition, and it just I think Barebones is kind of just a culmination of that.

Bare bones is a health food company specializing in stocks and bone broths that are really nutrient dense. The realization that nutrition could change my body and how I felt really was life altering.

I danced for most of my childhood and early adulthood. When I was about seventeen or eighteen, I started experiencing a lot of pain in my feet, and it took years before I was diagnosed with arthritis in the the ball joint of my big toe. The doctors told me at the time there's really nothing we can do for you. Surgery is too risky.

You could be paralyzed for life, especially because it affected both feet. For the rest of my life, I wouldn't be able to take another step without a lot of excruciating pain. Fast forward about five years, and I met my husband, Ryan, and he introduced me to the paleo lifestyle. And I thought, well, this is interesting.

I'll give it a shot. And so for the next thirty days, I went full carnivore paleo.

And at the end of the thirty days, the pain in my feet disappeared for the first time in years.

And it was then that I realized the true power of food and nutrition in healing our bodies.

When Barebones started in two thousand fourteen, it really was a side hustle for both of us. We started with liquid bone broths because that's my husband's background as a chef. More recently, we innovated into instant powdered bone broths.

And in the beginning, I I didn't I wasn't thinking very big, at least certainly not as big as its BECOM. I threw up a website, I started making broth, and in my house, packaging it in little containers, freezing it, and then shipping it across the country to whoever would buy it, which at first was, like, you know, nobody.

When the pandemic hit, people were panic buying food, mostly shelf stable food. Club stores were calling and just asking, you know, what do we have? What do you guys have to send us? Send us anything. We saw a severe increase in demand for our product and actually had trouble filling orders.

The the company now is fully remote. We have team members all over the country. We're based in Ohio. That's our official headquarters.

My husband and I work from home. We have a little shipping room here. We have a little r and d lab here.

Please don't look.

He will disappear down into his lab or his his cave for a few hours at a time, and then he'll emerge with something, like, super fragrant and put it in front of me, set it on my desk. I know you may not have time for this right now, but I want you to try it.

I mean, there are days I skip lunch because I don't have room because of all the broth.

Catherine, she's incredible, you know. She focuses on the big picture, the finances. She she allows me to continue to to create products and to just kinda, you know, tinker.

Ryan is the creative genius, and he is the heartbeat of the brand. And then I'm the numbers person. When we first started, it was really analog. I was doing the bookkeeping.

I was the one writing the paper checks and keeping the, like, handwritten log of what checks we had written and trying to time when folks were gonna deposit them. And inevitably, things fall through the cracks. Somebody doesn't deposit a check or they wait too long and they deposit it on just the wrong day and your cash flow is all jacked up. Bill dot com now allows me to go in once or twice a week and approve bills or make notes on them if I have questions about them.

Everyone emails their invoices straight to that one central inbox that's digital. Now we have team members all over the country, some of whom have to approve those bills before they're paid, and then others of whom schedule the actual payments and provide the backup to those recipients. There are a few tools that I call my power tools, and bill dot com is absolutely one of those. And I don't see us being able to even function without it.

That has freed up my time to focus on what I love, which is really the sales. I love going and opening new accounts and telling the bare bones story to other folks and coming up with a a promotional strategy to get bare bones in front of more consumers and getting them to taste it, to try it, for it to change their lives the way nutrition changed mine.

Golden Ratio Builds a Successful and Efficient Business, One Cup at a Time

About seventeen, I started playing in rock bands, travel around the state of Texas, occasionally do fly dates across the country. And that's where my problem with coffee stemmed from because drinking rural gas station coffees town to town wrecked my stomach. Went to Seattle, discovered this really low roast coffee there that doesn't hurt my stomach and thought, okay, I can drink coffee again. This is awesome. I started a gold coffee company called Golden Ratio. It's coffee that's way less acidic, easier on your stomach, golden color, doesn't say your teeth brown. The reason it's different is that we don't burn the coffee bean.

You know, starting a consumer packaged goods business like we have typically takes a little bit of money to get started. And so all the savings in there, all the four zero one k in there, we almost missed our production date because we couldn't send the money we had in our bank to our bagging company and it was a fiasco. And so Bill dot com, that's when you all entered our company's life, is just solving a really critical supply chain operations need of just being able to send money to our suppliers so they could give us our materials to, you know, produce our products. We don't pass any paper around, and probably my favorite part of Bill dot com is its seamless integration of QuickBooks.

And being a remote business that everybody works remote on, Bill dot com is essential. It's the hub for for our whole company. So much of having a business is just getting proper accounts receivable and accounts payable, timeline set up. Mean, you need make sure your dollars are coming in and make sure your dollars are going out.

Bill dot com makes that seamless for us, which is awesome because then we can get back to running the marathon of building a company. And doing it without a payment solution is running that same marathon, but just with your shoes untied. We're ultimately on this mission to just feel good every day. And that's why I started this company because regular coffee made me feel bad.

Wag! Leverages BILL to Achieve an 80% Decrease in Unnecessary Expenses

Dogs are amazing. I take Digger.

They're part of the family. Good girl.

They keep you company. What do you want? They snuggle up next to you on the sofa when you're having a bad day. They are the bundle of energy and joy when you walk in the house from a hard day's worth of work.

I'm the CFO at Wag. I lead the accounting, finance, treasury, basically everything that has to do with numbers. The funny thing is when I was younger, I was not good at math. I struggled at school. Numbers were not my sweet spot for sure.

I remember coming home, one day and the teacher had told my parents that he really needs to work on his numbers.

That started a brainwave in in my dad's mind. Let's do some numbers.

So he invented these games where you have ten equations hyper complex, and if you get one or more wrong, it resets. You get another ten. First, it was incredibly frustrating, but over time, I nailed the ten. He said, you're done. I said, no. Let's do another ten. That ethos of hard work and we can do this, that's us.

And that's what I take to work. Good boy, Shirley. Wag was created as a dog walking company.

But over time, we've evolved. We followed where the needs have been from pet parents and pet caregivers.

So when the pandemic hit, we knew we had to pivot.

Our main service is walking and sittings and boardings. So you're home with your animals. You don't need someone to come in and walk your dog.

We have a network of nearly half a million pet caregivers. They are the heartbeat of the company. When the pandemic hit, that made it difficult for them. In addition to that, pet parents were struggling. Shops were full of people struggling to get their dog food.

And because the majority of vets were not able to open their offices, they were struggling. But the amazing thing was that dog adoption went through the roof. There were no dogs left to adopt during COVID.

It's amazing that dogs are being rescued.

It creates a new dilemma though. I am a new dog owner. I've not had a dog before. What do I do?

I have an issue. I don't have a vet. I've I've not done this before. WAG being a one stop shop of information and all these different types of services that help pet parents.

We thought through what can we do to support them? What do our pet parents? What do our pet caregivers need? These services were things that we dreamed of doing at some point in the future, but COVID accelerated it.

To pick up food for pet parents or chauffeur the the pet parent's dog to a vet and because the majority of vets were not able to get people in, we also launched vet telehealth. The vets got the business, they also got to do what they love to do which is helping animals and pet parents got the support that they needed.

I was brought into WAG to create a new controllership team in the Bay Area.

Peeling the layers back on bill dot com, I realized that it has a lot of attributes that you can utilize. You can have the review approval process where individuals can go in and approve stuff before payment. You can also departmentalize expenses. So you can use it to put expenses in in buckets for each department and it allowed me to have a very candid conversation with each department leasing. This is what you're spending on.

Is this what you want to be spending on or is there something we should consider doing differently? Bell dot com has helped us to achieve a eighty percent decrease in unnecessary expenses and reduce our close process from twenty five days to around four days. That's helped me spend less time chasing down invoices, chasing down why did we receive this invoice? Does it make sense? Should we have received it in the first place? Who approved it? And that just allows me to focus on what really matters in the business which is where is the business going?

You can now register anything on our app and and have notes. Hey, my fish needs to get fed twice a day. You're not gonna go and take a fish for a walk, but the fact that you can now do all these different things with animals across the spectrum is is amazing.
